Prototype machining quotes can vary by 3x or more for the same part, and the difference usually is not the shop's hourly rate. It is decisions made at the CAD screen, often weeks before an RFQ goes out. Here are the seven cost drivers engineers actually control, and how to manage each one without compromising the part.
Tolerance is the single largest cost lever on most prototypes. Every time a tolerance band shrinks by an order of magnitude, the shop may need slower feeds, additional finishing passes, temperature-controlled machining, and more inspection time. Precision work down to ±0.0002 in is achievable — but it should be reserved for the features that genuinely need it: bearing bores, sealing surfaces, press-fit diameters.
Material affects cost twice: once in raw stock price, and again in machining time. Free-machining aluminum cuts fast, holds finish well, and is forgiving on tooling. Stainless steels, tool steels, and titanium alloys cut slower, wear tools faster, and often need more rigid setups. For a form-and-fit prototype, ask whether the production alloy is truly required — a 6061 stand-in may answer 90% of your questions at a fraction of the cost, while a functional test article may justify the production material.
Every time a part must be re-fixtured, the shop pays for handling, indicating, and re-establishing datums. Features on five or six faces, undercuts, and deep angled holes drive setup count. Multi-axis machining reduces this — a 5-axis machining center such as our Okuma Genos M560V-5AX can reach compound angles in a single setup — but simplifying geometry helps even more. Where you can, put features on fewer faces, standardize hole angles, and let internal corner radii match common tool sizes.
Programming, fixturing, and first-article inspection are fixed costs. On a quantity of one, they dominate the price; spread over five or ten pieces, the unit cost drops sharply. If you know you will need spares or test articles, order them in the first run rather than repeating setup costs later.
A full dimensional report on every feature of every part is a very different job from a first-article report plus critical-dimension checks. CMM inspection — we run Mitutoyo AE112 and Keyence XM-5000 systems — gives documented, traceable results, but each measured feature adds programming and cycle time. Specify the inspection level you actually need: first article, critical features only, or full layout, and identify critical dimensions on the drawing.
Expedited work displaces scheduled work, and that premium shows up in the quote. If a prototype is genuinely schedule-critical, say so and pay for it. But if the honest need is "within a few weeks," a standard lead time lets the shop sequence your job efficiently and price it accordingly. Sending complete data up front — model, drawing, material, quantity, inspection requirements — is the cheapest expedite there is, because it eliminates clarification loops.
Ambiguous drawings cost money in two ways: shops either quote high to cover the uncertainty, or stop and ask questions that stall the schedule. A clean package includes a solid model (STEP), a drawing with datums and title-block tolerances, explicit thread callouts, surface-finish requirements, and material spec with temper or condition. If the drawing conflicts with the model, note which governs.

They require deciding, deliberately, where precision and speed are worth paying for — which is exactly the engineering judgment the drawing is supposed to capture.
